How can we help?

Quick answers to common questions about SignFlow

Frequently Asked Questions

Templates and sending

How do I create my first template?

Navigate to Templates and click 'New Template'. Upload a PDF document, then drag and drop fields onto the document where you need signatures, text inputs, or other data. Save your template and it's ready to send from the dashboard or through the API.

How do I send a document for signing?

From the dashboard: click 'New Submission', pick a template, add the signers and send. Each signer gets their own signing link. Through the API: create an API key, then make a POST request to /api/v1/submissions with your template ID, signer information, and any pre-filled data. The API returns a unique signing link for each signer.

What file formats are supported?

SignFlow currently supports PDF documents for templates. When creating submissions, the document maintains its PDF format. Completed documents are also returned as PDFs with embedded signatures.

Can multiple people sign the same document?

Yes! When creating a submission, you can specify multiple signers with different roles. Each signer receives their own unique signing link and sees the fields assigned to their role, along with any field that isn't assigned to a particular signer.

How long are signing links valid?

By default, signing links expire after 30 days. You can change this for each template, from 7 days to 1 year.

Can I download completed documents?

Yes! Once all signers have completed signing, you can download the signed PDF from the Submissions page. The document includes all signatures embedded directly into the PDF.

Signers

Do signers need an account?

No. Signers get a link and sign from any device. They never spend credits — signing, viewing and downloading are always free.

Can people sign on a phone?

Yes. The signing ceremony is built for phones: draw with a finger, pinch to zoom, and fields that open from the bottom.

Does it work in Hebrew?

Yes. The app, the signing ceremony and the documents work in Hebrew and English, right to left and left to right.

Integrations

Can we connect SignFlow to our systems?

Yes. On every plan, Free included: webhooks, the full API and a Make.com app. Priority ERP comes as an add-on.

How do I get notified when documents are signed?

Add a webhook endpoint in Org Settings to receive the events of every submission in your organization, or set a webhook URL on a single submission when you create it through the API. SignFlow will send POST requests to your webhook for events like 'signer.signed', 'submission.completed', and 'signer.declined'.

Plans and billing

What is a credit?

A credit is spent when you create and send a document for signing (1 credit) or run AI smart detect (1 credit). Signers never spend credits — signing, viewing and downloading are always free.

What happens when I run out of credits?

You can no longer create new documents until you top up or upgrade, but everything already sent keeps working — signing, reminders and downloads are never blocked.

Do unused credits roll over?

Monthly plan credits reset at the start of each cycle and do not roll over. Credit packs are different: pack credits are valid for 12 months and are used only after your monthly allowance runs out.

Is my card data safe?

Card details are entered on the payment provider's (Sumit) secure page and never touch SignFlow servers.

Do I get an invoice?

Yes. Every charge automatically issues an Israeli tax invoice/receipt, emailed to your billing address and available in the Billing tab.

Do prices include VAT?

All prices are in ILS and exclude VAT (18%). VAT is added at checkout, and a tax invoice/receipt (חשבונית מס/קבלה) is issued automatically for every charge.

Can I cancel anytime?

Yes. Cancellation takes effect at the end of the paid period — you keep your plan until then, and your documents and data are never deleted.

What does Enterprise include?

Single sign-on, custom roles, unlimited users, templates and AI detection, the credits you need and priority support. Tell us what you sign and we'll tailor it.

Getting Started

Create a template once, then send it for signature in seconds.

Create a template

  1. Upload your PDF

Start a new template and upload the document you want signed — drag it in or browse for the file.

  2. Place your fields

Drag signature, date, name, and text fields from the Field Library onto the document where signers should fill them in.

  3. Save your template

Give the template a name and save it. It's now reusable for every document you send.

Send a document

  1. Pick a template

Create a new submission and choose the template you want to send.

  2. Pre-fill known values

Optionally fill in any values you already know — signers complete the rest when they sign.

  3. Add signers

Add each person who needs to sign, with their name and email — or share an anonymous signing link.

  4. Send & track

Send the document — each signer gets a secure link, and you track every submission's status until it's completed.
